hey folks -

working with josue on the tech end of language access today. looked over the online workshop submission form. asking for two changes pls:

1) under the language section. currently it has the following wording:
In what language(s) will your activity be conducted?:
English
Spanish
Arabic
ASL
Other (please include in description)
Interpretation Provided:
Due to our limited resources and capacity, the USSF organizers will not be able to provide interpretation services for all workshops. Will you provide your own interpretation services? If so, for which languages?

By listing the above we are creating a hierarchy of languages - exactly what we said we didn't want to do. It also goes against all the messaging we are doing around language access at the forum. Can we remove the list of languages and just leave the open ended question with the capacity for folks to fill in the blank? This allows for folks to state their source language w/o being limited by a de facto "official language" list. The overhelming majority (almost all) will be in English anyway, but as organizers we are not privileging any languages. The "Interpretation Provided" is perfect and very helpful.

2) Can we add another question/field immediately underneath where folks can indicate if they want to be on a queue for interpreters pending capacity. We are working to build a team of interpreters on the ground and while we can't cover everything, we can cover some. There are folks coming wanting to give of their talent in this way and it would be good to match them up with folks who could use their services?

3) If not, would you like to be placed on a request list for interpreters? Requests will be accommodated on a first-come, first-serve basis pending capacity.

We talked about this at our meeting:

The Program Working Group is fine with this wording change.

However, we want to be sure that the Language Access will have access to this information, so that they can coordinate the language and interpretation pieces of the workshops.

hey all -

wanted to follow up with this request. hadn't heard back. i checked in w josue (im in dc this week) - he showed me how to check on the ticket. so i can see the discussion thread above and looks like it's good to go. my specific questions are

1) is this a done deal - changes made? or we're you folks waiting on a reply from me?

2) my understanding is that i should have gotten emails notices about the above? i cant find any in my inbox - is there any way to make sure i get them so i can stay in the loop and reply sooner?

3) is there anything else that you need from me to expedite the process?

Hi Roberto,

The way to ensure you get email notifications, first login at the top (it seems like you might already be logged in). Then click preferences at the top of the page and enter your email address.

Milestone 4 (which this ticket is assigned to) is scheduled for a deadline of next next week - so we should be able to address this during our sprint this weekend.

Updated the submission form to a textfield with label "In what language(s) will your activity be conducted?:"

On the follow-up, I put all of this text above a small text area in an effort to simplify the form:

"Interpretation Provided:
Due to our limited resources and capacity, the USSF organizers will be providing interpretation services based on need and capacity. We encourage presenters to provide their own interpreters if at all possible. The following information will be useful to our planning:

1) Will you provide your own interpretation services?
2) If so, from what language(s) into what language(s)?
3) If not, would you like to be placed on a request list for interpreters? Requests will be accommodated on a first-come, first-serve basis pending capacity."

Note, all of these changes need to be made to the downloadable form, too.
